Administrative Assistant

Job Purpose

We are looking for an Administrative Assistant to support the Director of Operations and be
responsible for handling clerical tasks. You will be handling incoming phone calls and other
communications, greeting clients and visitors, as well as managing files, updating paperwork
and other documents, and performing other general office assistant duties and errands.

Duties and Responsibilities

  • Answering phones and routing calls to the correct person or taking messages.
  • Using various software, including word, spreadsheets, and databases.
  • Opening, sorting, and distributing incoming emails, and other correspondence.
  • Greeting employees, clients, visitors/guests in person or via telephone for the purpose of providing information, taking messages, and/or directing to appropriate personnel.
  • Performing general clerical functions ( e.g. scheduling, copying, data entry, filling, etc) for the purpose of supporting office operations.
  • Helping organize and maintain office common areas.
  • Managing filing system and perform general office clerk duties and errands.
  • Maintaining supply inventory and office equipment as needed.
  • Creating, maintaining, and entering information into databases.
  • Assist the Director of Operations in maintaining workflow and efficiency in the office.
  • While working knowledge of ArcMap is not required it is strongly encouraged. The
    individual filling this position will need to be comfortable navigating through ArcMaps.
    We are willing to teach the right candidate if they meet all other qualifications.

Qualifications

  • Ability to operate or willingness to learn how to use ArcMaps
  • Clean driving record with a valid driver’s license and reliable transport to and from work
  • Detail oriented with ability to self-motivate and multitask.
  • High school diploma or associate’s degree.
  • Experience as an office assistant or in related field.
  • Ability to write clearly and help with word processing when necessary.
  • Warm personality with strong communication skills.
  • Ability to work well under limited supervision.
  • Great communication skills.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.

Compensation

  • This job is paid hourly at $15 per hour. Additionally, there are commissions paid on maps made, bonuses, and an opportunity for yearly raises. This position has the potential to earn an additional $2,000-$4,000 a year. That number is directly affected by employee’s speed/accuracy in map making, in addition to hours worked.
